Overview:

The position is for a detail-oriented, motivated, and organized Administrative and Research Assistant to provide critical support for a year-long memorial project competition. This part-time role, averaging 10 hours per week with some flexibility, will be key in ensuring the successful execution of the project. 

Responsibilities and Duties:

Key Responsibilities:

1. Administrative Responsibilities

  • Provide administrative support to ensure smooth day-to-day project operations, including scheduling meetings, managing the project team’s calendars, and organizing project documents.
  • Coordinate the preparation and distribution of project-related materials such as competition briefs, updates, and progress reports.
  • Manage and maintain an organized digital filing system for all project documentation, ensuring that research materials, correspondence, and competition entries are properly cataloged and easily accessible.
  • Track and monitor project timelines, deliverables, and competition deadlines, ensuring tasks are completed on time and in accordance with project goals.
  • Prepare detailed meeting minutes, document action items, and follow up on pending tasks with the team and other stakeholders.

2. Outreach & Communication

  • Assist in drafting and distributing outreach emails and communication materials to participants, stakeholders, and partners.
  • Support the creation of social media content, newsletters, and other materials to promote engagement with potential competition entrants and the broader community.
  • Coordinate communication efforts with key stakeholders, including judges, partners, and participants, ensuring timely and clear communication throughout the competition.
  • Provide logistical and coordination support for workshops, events, and meetings related to the competition.
  • Help manage public inquiries related to the competition through email and other communication channels.

3. Data Collection and Analysis

  • Collect and organize competition entries and other data related to the project.
  • Analyze competition data and provide the project team with summaries or trends that can be used for decision-making.
  • Ensure the accurate and organized presentation of all data and competition information for evaluation by the project team and judges.

4. Research Support

  • Conduct comprehensive research on memorial projects, architectural competitions, and other similar initiatives to inform decision-making.
  • Analyze current design trends, past memorial projects, and other relevant data to support the competition’s development.
  • Assist in identifying and researching potential judges, collaborators, and participants for the competition, compiling relevant information into reports.
  • Summarize research findings into well-organized presentations and briefs for review by the project team.
  • Stay informed on relevant news, events, and trends in memorial design, architecture, and competitions.

The ideal candidate will have experience assisting with research, outreach, data collection, and administrative coordination to help guide the project team in making informed decisions.
