Overview:

 

The Administrative Coordinator will maintain and promote Rise & Remember’s community-focused programs & provide administrative support for the organization. 

 

The Pilgrimage Program is the longest-running program of Rise & Remember that the AC will oversee. This duty entails outreach and marketing for Pilgrimage Journeys (including but not limited to outreach to potentially interested parties and website maintenance), coordination of Pilgrimage Journeys (including but not limited to intake of groups, coordination between pilgrims, guides, and theaters), support ongoing guide development (including the coordination of pilgrimage guide meetings and entrepreneurial development training), and new pilgrimage guide training. The AC will also support other key projects and art & justice programs like memorial design projects, the Caretakers and Artists Reprieve Experience, mutual aid distributions, and other programming opportunities or partnerships that fit with the mission of the organization. 

 

The professional in this position must be able to interact warmly with a diversity of people. They must know how to tap into the needs and desires of the George Floyd Square community and how to respond in kind. This position will require strong communication skills, judgment, flexibility, initiative, and decision making. The ideal candidate will assist with research, outreach, data collection, and administrative coordination to help guide the project team in making informed decisions. This person will provide critical support for the team.

Responsibilities and Duties:

  1. Administrative Responsibilities 
  • Provide administrative support to ensure smooth day-to-day project operations, including scheduling meetings, managing the project team’s calendars, and organizing project documents. 
  • Coordinate the preparation and distribution of project-related materials such as competition briefs, updates, and progress reports. 
  • Manage and maintain an organized digital filing system for all project documentation, ensuring that research materials, correspondence, and competition entries are properly cataloged and easily accessible. 
  • Track and monitor project timelines, deliverables, and competition deadlines, ensuring tasks are completed on time and in accordance with project goals. 
  • Prepare detailed meeting minutes, document action items, and follow up on pending tasks with the team and other stakeholders. 
  • Coordinate small-scale, recurring programming events 
  • Coordinate mutual aid distributions
  • Attend community meetings as a representative of Rise & Remember
  • Serve as the first point of contact.
  • Maintain the general email inbox.
  • Manage incoming and outgoing mail.
  • Attend and take minutes at organizational meetings.
  • Manage media requests.
  • Manage purchasing orders.
  • Ensure contractors and vendors are paid.
  • Support basic bookkeeping and enter receipt data.
  • Monitor and keep up to date with the website and social media.
  • Attend and take minutes at all organizational meetings.

 

  1. Pilgrimage Responsibilities
  • Intake groups interested in Pilgrimage Journeys.
  • Coordination between guides and theaters for Pilgrimage Journeys. 
  • Outreach to businesses/schools/conferences/other groups potentially interested in Pilgrimage Journeys, as well as any other initiatives that ensure a consistent flow of Pilgrimage Journeys
  • Promote and market Pilgrimage Journeys
  • Train new guides and organize current guides.
  • Manage hours, schedules, and contracts of pilgrimage guides
  • Create invoices
  • Use Quickbooks and Connecteam software to manage pilgrimages.

 

  1. Outreach & Communication 
  • Support coordination of volunteer and hospitality initiatives.
  • Coordinate small-scale, recurring programming events 
  • Coordinate mutual aid distributions
  • Attend community meetings as a representative of Rise & Remember
  • Meet weekly with the Executive Director.
  • Perform other duties as assigned.
  • Serve as the first point of contact.
  • Maintain the general email inbox.
  • Manage incoming and outgoing mail.

 

  1. Memorial Projects Support 
  • Assist in drafting and distributing outreach emails and communication materials to participants, stakeholders, and partners. 
  • Support the creation of social media content, newsletters, and other materials to promote engagement with potential competition entrants and the broader community. 
  • Coordinate communication efforts with key stakeholders, ensuring timely and clear communication for each initiative. 
  • Provide logistical and coordination support for workshops, events, and meetings. 
  • Help manage public inquiries through email and other communication channels. 
  • Collect and organize competition entries and other data related to the project. 
  • Analyze competition data and provide the project team with summaries or trends that can be used for decision-making. 
  • Ensure the accurate and organized presentation of all data and information for project evaluations. 
  • Conduct comprehensive research on assigned projects or organizational initiatives to inform decision-making. 
  • Analyze current trends, benchmarked projects, and other relevant data to support project development. 
  • Assist in identifying and researching potential collaborators, compiling relevant information into reports. 
  • Summarize research findings into well-organized presentations and briefs for review by the team. 
  • Stay informed on relevant news, events, and trends. 

 

  1. Additional Responsibilities

Qualifications:

  • Education: some college credits preferred.
  • Marketing/promotion experience preferred.
  • Administrative experience preferred.
  • Some experience with Quickbooks preferred.
  • Basic knowledge of website editing.
  • Ability to maintain social media accounts.
  • Willingness to learn new software.
